23 – 24 School Year Board of Trustees Committee & Task Force Mandates

The School Director of the Charlottesville Waldorf School requests and requires that the Buildings and Grounds Committee execute the following mandate:

Role: The Buildings and Grounds (B&G) Committee supports maintenance and upkeep of buildings and grounds on the   Charlottesville Waldorf School campus

Authority: Chartered by the School Director.

Responsibilities:

  • Creates and oversees subcommittees and task forces as needed
  • Forecasts future maintenance needs and costs
  • In collaboration with faculty and the Board, carries out the creation of and updates as needed the Campus Use Plan by creating a dedicated task force that conducts brainstorming sessions that include members of all bodies of the school and submits the plan for approval by the School Director and the Board of Trustees.
  • Plans and carries out landscaping projects in conjunction with the overall Campus Use Plan once it is created and after consultation with College of Teachers to ascertain impact on program.

Membership: School Director, Facilities Manager, one faculty member, interested parents and community members.

Accountability and Decision-making authority: Makes recommendations to the School Director on maintenance, grounds, and facilities issues within the scope of the annual budget. Makes recommendations on building design and use, land use and design, and major construction issues to the School Director for approval by the Board. Its work is reviewed annually by the School Director.

Reporting Procedures: The Buildings and Grounds Committee will create reports to be delivered by the School Director (or other member of the committee who may sit on the Board) to the Board. These reports will include updates on the Campus Use Plan and major repairs. In addition, the B&G Committee will submit an annual budget proposal to the Finance Committee for inclusion in the school budget.

Meeting Frequency: Monthly and more often as needed.

The Buildings and Grounds committee requests and requires that the Facilities Master Plan Task Force execute the following mandate:

Role: The Facilities Master Plan Task Force will submit a proposal to complete the Charlottesville Waldorf School’s site plan with necessary updates and improvements.

Authority: Chartered by the Buildings & Grounds Committee with collaborative input from the Finance Committee

Objectives:

  • Review the current site plan and assess existing needs.
  • Prioritize and price proposed improvements/changes.
  • Present final proposal for approval by the Buildings and Grounds committee before sending the Board for final approval.

Accountability and Decision-Making power: The task force is not a decision-making body, but is accountable to providing a proposal for approval within a decided upon timeline.

Member qualifications: We are looking for community members who have expertise in site planning, architecture, landscape design, safety and security, construction, contracting, and other skills related to facilities management.  

Meeting frequency: As needed until completion of project

Reporting procedures: Reports monthly to the Buildings & Grounds committee

The School Director requests and requires that the Annual Fund Task Force execute the following mandate:

Role: The Annual Fund Task Force will plan a successful Annual Fund for the 2023-24 School Year.

Authority: Chartered by the School Director

Objectives:

  • Collaborate with the Board to set the fund goal for the year.
  • Create a roll-out timeline with a communication plan.
  • Create a framework for a standing Development committee moving forward.

Accountability and Decision-Making power: The task force is not a decision-making body, but is accountable to providing a proposal for approval within a decided upon timeline.

Member qualifications: We are looking for community members who have expertise in fundraising, development, community building, communications, marketing, and other relevant skills to support the school’s fundraising efforts.

Meeting frequency: As needed until completion of project

Reporting procedures: Reports monthly to the School Director

The School Director requests and requires that the Summer Programming Task Force execute the following mandate:

Role: The Summer Programming Task Force will create a proposal for adding summer programming to the school offerings with the goal to increase revenue.

Authority: Chartered by the School Director

Objectives:

  • Identify scope of summer programming, including age groups and staff requirements
  • Create a recruitment strategy for camp couselors
  • Create a marketing and enrollment plan
  • Develop a program budget

Accountability and Decision-Making power: The task force is not a decision-making body, but is accountable to providing a proposal for approval within a decided upon timeline.

Member qualifications: We are looking for community members who have expertise in educational programming, personnel recruitment, volunteer management, marketing, communications, and other related skills to launching a new program for CWS

Meeting frequency: As needed until completion of project

Reporting procedures: Reports monthly to the School Director

The Buildings & Grounds committee requests and requires that the Campus Signage Task Force execute the following mandate:

Role: The Campus Task Force will create a proposal for updating the signage on the CWS campus.

Authority: Chartered by the Buildings & Grounds committee

Objectives:

  • Review current signage needs
  • Create a proposal for signage additions/improvements
  • Propose uniform design for a cohesive appearance

Accountability and Decision-Making power: The task force is not a decision-making body, but is accountable to providing a proposal for approval within a decided upon timeline.

Member qualifications: We are looking for community members who have expertise in signage, safety & security, design, and other related skills to improving signage on campus

Meeting frequency: As needed until completion of project

Reporting procedures: Reports monthly to the Buildings and Grounds committee
