REGISTRATION FEE: This non-refundable fee of $800 per family plus $100 per child reserves your child’s place in his/her class each year, and is due with the ‘Annual Tuition Contract’. NOTE: The Registration Fee may be paid in two installments.
FACILITIES FEE: This fee of $600 per newly enrolling student is due July 15. If a student enters CWS after July 15th, the family must speak with the Business Manager regarding payment of this fee.
LATE FEE: For re-enrolling families a $100 late fee is assessed for contracts and registration fees received after the deadline.
TUITION ASSISTANCE PROGRAM: Tuition Assistance Applications must be completed in full by January 14 -- see ‘Tuition Assistance Application’ for further details. Families applying for Tuition Assistance must also complete the ‘Annual Tuition Contract’ and pay the non-refundable registration fee listed above by March 11 for current families, and by March 25 for new families in order to reserve your child’s place in his/her class. In order for parents to be part of the Tuition Assistance pool, it is vitally important that they apply by the January 14 deadline. Re-enrolling families who apply after the deadline assume the risk of being asked to pay a disproportionally larger share of the total pool. Families new to the school may apply at any time but we ask that they do so as soon as possible.
ADDITIONAL COSTS: Please understand that in addition to Tuition & Fees above there are field trip costs [Grades 1, 2, 4, 6, 7 - $10-$30/year; in Grades 3, 5, 8 - $300+ /year] and instrument costs [Grades 3 – 8: rent/purchase of a string instrument, and Grades 4 – 8: private lessons/sectionals].
SIBLING DISCOUNT FOR FULL PAYING FAMILIES: This discount applies to families who pay full tuition with multiple children enrolled in any grade or early childhood level who are paying full tuition. This discount does not apply to aftercare or other school programs or fees. Parents are able to decide whether or not they will take advantage of the discount and may continue to pay full tuition for all children if they wish. Many families chose to donate back the amount of the discount to our Annual Giving Campaign.

TUITION PROTECTION PLAN
Since a signed CWS Annual Tuition Contract obligates you to pay the full contracted amount of tution, the Tuition Protection Plan is being made available to protect your yearly financial obligation under the terms of the CWS Annual Tuition Contract. The Tuition Protection Plan goes into effect after the student has attended class a minimum of 14 consecutive school calendar days. Claims need to be submitted in writing to the business office.
This program protects tuition (prepaid and due) in the event of separation for the following reasons:
Voluntary withdrawal due to moves, financial hardships, change of objectives, etc. The Plan will pay 60% of the remaining tuition obligation to CWS and 40% remains the family’s responsibility.
Withdrawal due to student illness or injury. The Plan will pay 100% of the unused net tuition, provided a medical absence lasting 45 or more consecutive school days as required for regular medical care by a legally qualified medical practitioner, not related to the student, who certifies this in writing.
Dismissal from the school. The Plan will pay 75% of the unused net tuition and families are responsible for the remaining 25%.
The CWS Tuition Protection Plan is a self-insurance model like those used by many other Waldorf and other independent schools and so is not contracting with an outside company to provide tuition insurance.
ANNUAL GIVING: Tuition alone cannot support a private school education. We depend on the generosity of our entire
community to help make up the difference through the Annual Giving Campaign and other revenue-raising activities. All
donations are fully tax-deductible.
MAJOR FUND RAISING EVENTS: Aside from the Annual Giving Campaign, CWS depends upon the support of our entire community during the several major fund-raising activities we engage in each year. Therefore, each parent is expected to devote a minimum of 15 hours each year to fund-raising for the school. A portion of these hours should be dedicated to the Holiday Bazzar on DECEMBER 7, 2013 and to the spring fundraiser. These activities directly support the operating budget, and help to keep our tuition down.
SINGLE PAYMENT PLAN
Full payment is due by July 15, 2013.
TWO-PAYMENT PLAN
Two equal payments are due July 15, 2013 & November 15, 2013.
TWELVE-PAYMENT PLAN
12 equal payments due July 15, 2013 – June 15, 2013.
Full Year Commitment
The enrollment process requires each family to fill out the ‘Annual Tuition Contract’ which signifies a family’s commitment to the Charlottesville Waldorf School for the coming school year. There is no reduction, refund, credit or other allowance made for snow days, absence, illness, missed classes due to tutoring or other programs.
Cancellation of enrollment, without further financial commitment must be made in writing before June 1.
Payment Delinquency Policy
All past due tuition and fees must be current by the first day of school in order for students to begin attending classes. Any request for an exception must be made in writing prior to the beginning of school to the CWS Board of Trustees. In addition, a late fee of $50 will be applied to all payments received after the 15th of each month. For accounts in arrears exceeding the late payment policy guidelines, families agree to pay all costs of collection of delinquent payments, including, without limitation, reasonable collection agency fees, attorney's fees and court costs.
Tuition payments are due on the 15th of the month. Aftercare is billed monthly and is due upon receipt of the
bill. If tuition or aftercare is not paid within 30 days of the date due, an invoice will be sent identifying the pastdue
amounts.
Amounts that remain unpaid within 30 days of the invoice date will result in a suspension of the child(ren) from the use of aftercare and other services. Amounts that remain unpaid within 45 days of the invoice date will result in the suspension from school of the child(ren).
Exceptions to the policy will be made on a case by case basis through a written request to the CWS Board of Trustees
